ASURE Colonial Lodge Motel have implemented measures to minimise the risk of transmission, to ensure that our guests and employees remain in a safe, inclusive and healthy environment. We are doing everything we can to uphold our high standards to maintain a safe environment, with additional cleaning, disinfecting, and we have in place, Health & Safety procedures, Sustainability procedures and COVID procedures. 


We have achieved ASURE 4 Star PLUS Accreditation
with our robust yearly ASURE Accommodation Group quality assessment.

Managing the Risks

  • Surfaces will be sprayed with a disinfectant prior to cleaning staff entering the unit for cleaning. Carry out cleaning and sanitizing of all touch surfaces. These include frequently touch areas such as:
  • Curtains and pull cords, Light switches, Tables, Remote Controls, Toilet lids/buttons/splash backs, Power Points, Cupboard Handles, Door Knobs, Benches, Compendiums.
  • All units and surfaces will be wiped down with disinfectant, Units are aired daily. Surfaces and high touch areas to again be sprayed with disinfectant after the room has been cleaned and Quality Control checked on cleaning., then locked for incoming guests. We have sanitiser and soap for guests and staff use in all areas of the motel. All guests have the QR tracing code in their units and also at the office if they choose to use it on arrival. All staff have been trained and advised of changes.

Safety of Staff

  • Health and Safety meetings are held weekly. 
  • If COVID-9 Levels changes these will be reviewed as required.
  • Compulsory PPE Equipment Gloves, and face masks. 
  • We maintain good hygiene, compulsory hand washing, and good cough/ sneeze etiquette.
  • We provide one on one training to ensure all guidelines are adhered to and where possible one staff member per unit clean. 
  • No entering units with guests present to ensure safe distancing during Levels 2, 3 & 4.

Ensuring staff are healthy and safe to work

  • Daily checks on team members’ health. 
  • If they have been feeling unwell, and symptoms are similar they are removed from the workplace and organise a COVID-19 test. 
  • Document who is in each team member’s extended ‘bubble’ and their details on file for contact tracing. 
  • Daily health and wellbeing check as levels change.
  • We have a register in place for all guests and staff to fill out, along with QR tracing codes in all units to eliminate too many people in one place at any given time. 
  • If staff are feeling unwell they will not be working and will have to go to doctors for a test, this is for the safety of themselves and the workplace. 
  • We are proud of our staff and have a great team who regularly talk to each other, so checking on each and everyone’s health is done on a regular basis.

Business Operations to keep everyone safe

  • We will review guidance on the Ministry of Health website regularly to ensure we are doing our bit with the cleaning regime, right disinfectant, and products.
  • ASURE Accommodation Group offers an ‘online check-in system’.
  • The keys will be left in their rooms, also with a letter to be read and signed. 
  • Disinfecting wipes or sanitizer will be available.
  • Minimising risk by avoiding traffic in reception
  • Level 2 
    • Reception open but strict social distancing – 2 metres. 
    • One guest in reception at a time. 
    • Staff in masks, sanitising of eftpos, pens, door handles between guests.
  • Level 3 or above
    • No servicing will be undertaken and rooms will be equipped with sufficient supplies for the duration of the guest’s stay. 
    • Contactless check-in will be implemented as we are open to essential travel/workers.
    • Additional supplies of clean towels, linen, and amenities will be left outside their rooms if required by guests. 
    • Guests can ring reception for extra items – call 844 7788. 
    • The rubbish will be collected daily from outside their rooms.

Managing suspected exposure to COVID-19

  • A team member or owner: Self isolate and organise a test. Consult with staff, arrange safe transport for them to get home or to the doctors immediately, Inform all other workforces, give advice on contact details for the Healthline, etc.
  • Guests: Leave the room they have been occupying and organise a test and then the ASURE Colonial Lodge Motel team member begins full deep clean of the unit with gloves and masks. If the property is listed as a location of interest then it is our responsibility to contact all existing and previous guests advising them of the location of interest.

Effective work processes and risk controls

  • Consult with Hospitality New Zealand, Ministry of Health Guideline, and ASURE Accommodation Group. 
  • Communicate and document changes to this plan with staff as they happen 
  • Regular meetings/discussions and take on board any concerns the staff raise.

These changes will be reviewed at our daily or weekly meetings if COVID-19 levels change. We regularly check in with staff about how they are coping with the change to their working environment.
